Cleanfarms is a young and growing Canadian not-for-profit organization that creates and provides waste management programs to help promote sustainability in Canadian agriculture.
Cleanfarms’ members, companies that supply farmers with a variety of tools that are critical to their farming operations, are central to the organization’s success. The Member Relations Coordinator, Quebec, plays an important cross-functional role and is the primary liaison with new members located in Quebec. This is a newly-created, hands-on position that will support the significant membership growth and the increased diversity that is taking place as Cleanfarms’ programming expands to meet new regulatory requirements in Quebec. It is a combination of new member acquisition and ongoing account management for Cleanfarms’ Quebec-based members.
This position reports to the Director, Stakeholder Relations and Policy and liaises closely with the finance department, the Quebec Operations team (under the direction of the Director, Eastern Region) and other internal and external stakeholders.
Primary responsibilities
- Assist in the development, implementation and evaluation of the yearly member recruitment and services plan.
- Build new business relationships by supporting companies during the recruitment and onboarding process.
- Develop and enhance relationships with existing members to enhance member value.
- Help develop, distribute and follow up on member-focused communication; this includes newsletters, annual fee-related notices, quarterly reporting reminders and regulatory updates.
- Coordinate the member service components of new program development; this includes the development of recruitment tools, liaising with trade associations, product/company research and tracking and developing dealer notices and ecofee awareness tools.
- Work closely with the finance department to prevent reporting delays. This may include developing memos/notices and managing issues related to erroneous reporting.
- Maintain all Quebec-specific member-facing policy documents and agreements, governance documents and help maintain the member company registry.
- Receive and respond to Quebec-specific membership inquiries; escalate or transfer more specific inquiries to relevant team members.
- Help develop internal and external-facing membership related reports and briefings.
- Assist with relevant government reporting requirements and government grant applications.
- Act as the secretariat for the ‘comité délibératif.’ Duties include meeting coordination, minute taking, and developing or coordinating briefing materials.
- Provide back up support to ongoing Cleanfarms’ member relations work for members outside of Quebec.
- Perform other related duties as assigned.
Skills and qualifications
- Post-secondary degree or diploma in environment, agriculture or a related field.
- Minimum of five to seven years of relevant B2B customer service experience in a highly regulated environment.
- Previous experience in government relations is an asset.
- An ability to initiate and build relationships, credibility, and trust with a diverse set of stakeholders/members.
- Exceptional relationship management and diplomacy skills and a customer-focused attitude.
- Experience interpreting regulations and explaining complex information to clients.
- Responsive, with a keen eye for detail and accuracy for reporting and proper documentation.
- Excellent communication (oral and written) and analytical skills.
- Proficient in Microsoft Office Suite.
Working conditions
- This remote position works an average of 37.5 hours per week, typically 8:30am – 5:00pm, with a one hour unpaid lunch break.

- Cleanfarms provides equipment and IT support to enable employee performance in remote work settings.
- Some travel likely required within Canada to attend trade shows, member visits, attend meetings and events, with possible need for overnight stay.
- Valid driver’s license and/or access to reliable transportation is required for some travel predominantly in Quebec.
Compensation
- This is a full time, salaried position; salary is based on experience and qualifications and includes a performance-based bonus.
