On this webpage, you will find tools that Cleanfarms makes available to its members. These tools are designed to help members explain ecofees and related processes within their own companies or to their supply chains and customers.
Supplier Agreements
In select cases, an enterprise (e.g., Enterprise-A, a company obligated under the RRVPE) and another company further down the supply chain (e.g., Distributor-A, a company that does not have a legal obligation under the RRVPE and purchases product from Enterprise-A) may agree that Distributor-A is better positioned to manage the reporting and application of ecofees on select or all products supplied to it by Enterprise-A.
In situations like this, both parties need to mutually agree on the appropriate path forward.
The documents below are intended to help companies like Enterprise-A explain processes and available options to its supply networks:
Template voluntary first seller agreement – grain bags, Saskatchewan
Template letter & supplier agreement – sanitization products, Quebec
Template letter & supplier agreement – feed, Quebec
Please note that proper documentation and record keeping is required to ensure fairness across all members.
Displaying Ecofees on Invoices
The RRVPE includes rules around how enterprises can display ecofees on invoices. The documents below are intended to explain what is and isn’t acceptable:
Ecofee Estimates and Data Requirements
Cleanfarms uses an online system to safely and securely collect confidential data from its members. A member is provided with access to this online system after they have submitted a member agreement. The purpose of the worksheet below is to identify what data a member will need to provide to Cleanfarms and help estimate an ecofee per unit on products or skus.
Please note that members must use Cleanfarms’ online system (and not the worksheet above) to submit data to Cleanfarms.

Other
In certain situations, a company legally obligated by the RRVPE (e.g., a distributor), wants to confirm that its suppliers (e.g., a brand owner or registrant) are Cleanfarms members and are reporting/paying ecofees on select/all products. This is important to avoid the double application of ecofees. The letter helps a distributor explain this ask to its suppliers.
In other situations, a company (e.g., a distributor) wants to encourage a supplier (e.g., a brand owner or registrant) to become a member and support Cleanfarms’ programs. The referral letter below can help a distributor explain this ask to its suppliers.
